Terms of Service

These terms govern the use of Visa360: our website (visa360.my), the Visa360 staff app and the family portals that organizations run on Visa360. They're an agreement between Visa360 and the organization that subscribes to Visa360 (the customer), such as a school. People who use Visa360 through a customer's account, such as staff, students and their families, must follow them too.

Accounts and access
- Visa360 has no self-service sign-up. We set up each customer's organization, and the customer decides who gets access and with which role.
- Each person keeps their own sign-in details safe and doesn't share their account. Tell us straight away if you think an account has been misused.
- The customer is responsible for what its users do in Visa360 and for removing access when someone leaves.
- We may suspend an account to protect Visa360 or other customers, for example when we see signs that it's been taken over. We tell the customer as soon as we can.
Plans and fees
- The plans and their features are the ones on our pricing section: Starter at RM 299 a month and Professional at RM 699 a month. Enterprise is priced in the customer's order. There's no free trial.
- We invoice monthly in advance. Payment is due within 14 days of the invoice date.
- Prices exclude Sales and Service Tax (SST) and any other taxes, which we add where they apply.
- If an invoice is overdue, we may suspend the customer's access after giving at least 7 days' written notice. We restore access once the invoice is paid.
- We give at least 30 days' notice before a price change applies to an existing customer.
How long the agreement lasts
- The agreement runs month to month. Either side may end it by giving 30 days' written notice.
- We may suspend or end the agreement sooner if a customer seriously breaks these terms, for example by misusing Visa360 or by not paying after we've given notice.
Your data when the agreement ends
- Within 30 days of the end, we deliver an export of the customer's data.
- Within 90 days of the end, we delete it. Deleted data can remain in our backups until they roll over, within 30 days.
- If the law requires us to keep some records for longer, we keep only those, for only as long as required.
Customer data and privacy
- For the visa and pass application data a customer manages in Visa360, the customer is the data controller (the data user under Malaysia's Personal Data Protection Act 2010). We process that data only on the customer's instructions and under our data processing agreement with it.

Acceptable use
You may not:
- use Visa360 for anything unlawful, or to submit information you know is false;
- try to reach another customer's data, or get around Visa360's security or access controls;
- upload malware, or anything that interferes with Visa360 or its users;
- copy, resell or reverse-engineer Visa360, except where the law allows it.
Applications to the authorities
- Visa360 helps customers prepare and track applications. The authorities, such as the Ministry of Education and the Immigration Department of Malaysia, make the decisions.
- We don't guarantee that any application will be approved, or how long the authorities will take.
- The customer is responsible for the information it submits and for meeting the authorities' deadlines and requirements.
Service and support
- We work to keep Visa360 available, secure and up to date, but we can't promise it will never be interrupted. We schedule maintenance for quiet times and give notice where we can.
- Support is by email on every plan, with priority support on Professional.
- Enterprise service levels, including the SLA guarantee, 24/7 phone support, a dedicated manager and on-site training, are set in the customer's order.
Other services
Visa360 uses other companies' services, such as Google sign-in. Their own terms apply to your use of them, for example your Google account. Our privacy policy lists the companies that process personal data for us.
Intellectual property
- We own Visa360, including its software and design. While the agreement lasts, the customer and its users may use Visa360 for the customer's own purposes.
- The customer owns its data. It lets us use that data only to provide and support Visa360 for it.
- If you send us ideas or feedback, we may use them without any obligation to you.
Liability
- So far as the law allows, our total liability to a customer under this agreement is limited to the fees the customer paid us in the 12 months before the event that led to the claim.
- We're not liable for indirect or consequential loss, or for loss of profit, revenue or goodwill.
- Nothing in these terms limits any liability that the law doesn't allow to be limited.
Changes to these terms
We post every change on this page and update the date at the top. We give customers at least 30 days' notice of a material change, by email or in the app. A customer that doesn't accept the change may end the agreement before it takes effect.
Governing law
These terms are governed by the laws of Malaysia, and the courts of Malaysia decide any dispute about them.
Languages
These terms are available in English, Bahasa Melayu and Arabic. The Arabic version is a courtesy translation. If the versions differ, the English version applies.
